Administrative Assistant, Program Development
IMMEDIATE SUPERVISOR: Sr. VP, Program Development
MAIN FUNCTION: The individual in this position is responsible for providing administrative support to the Grants Management and Program Development team. The nature of this position is to maintain the daily operations of the Program Development staff and to relieve Grants and Program Development Management of administrative duties in order to increase the time available for other key responsibilities.
The candidate will be responsible for preparing routine and advanced correspondence including letters, memoranda, and reports as well as arranging travel and meeting logistics for Program Development personnel. Qualified applicant will be able to assist Office Manager in operating a small multi- line phone system, managing office supplies inventory and incoming/outgoing mail dissemination.
KEY RESPONSIBILITIES & DUTIES:
- Provide administrative support to Grants Management and Program Development team as needed
- Coordinate internal and external meeting logistics
- Organize and monitor international and domestic conference calls in order to identify important participant action items
- Accurately record and compile meeting minutes for review and approval
- Manage international and domestic travel logistics for Program Development staff
- Maintain Program Development central files and records
- Assist Office Manager in maintaining Outlook central database
- Support Program Development and Administration teams on other projects as needed.
QUALIFACTIONS:
Education: Bachelors degree in any field is required, but a degree or interest in global health is a plus.
Experience: The successful candidate will have prior experience in a professional setting, be computer literate and proficient in Microsoft Office products. He or she will have demonstrated strong organizational skills, attention to detail and the ability to work in a fast paced environment. Experience working with international markets is desirable.

S/he will demonstrate a high level of professionalism and a strong ability to relate to people of all business and social levels. The ability to work on multiple assignments at the same time, to meet deadlines and to be flexible to changing priorities is critical.
